Resource Centre

The Resource Centre, which is on the third floor of the Hong Kong Film Archive building, houses a large number and variety of collection items, audiovisual materials and books and periodicals on films. Items in our collection are not for lending. However, the public may freely read books, magazines and other film-related publications inside the Resource Centre. The public may also apply for an ‘Audiovisual Materials Viewing Card' for viewing audiovisual materials. Reservation is necessary for viewing closed stack collection.

Most of the collection items are copyright-protected. The Resource Centre does not necessarily hold the copyright to its collection items. In most cases, copyrights of these items belong to a third party. The copyright owner is always the only person who may grant permission for the use of his or her work. Users are held responsible for the clearance of copyrights upon their use of collection items. We will assist users with their search for the contact coordinates of a copyright owner as much as we can.

Conditions of Use

Inside the Resource Centre

1. Children under the age of 12 must be accompanied by an adult when entering the Resource Centre or using its facilities.
2. Please help us keep the Centre a clean and quiet environment for everyone and refrain from eating, drinking, talking loudly or using sound-emitting devices, including mobile phones, in the Centre. Please switch off or mute all sound-emitting devices before entering the Centre.
3. Please do not leave your belongings unattended. The Centre shall not be liable for any loss and/or damage of personal property brought to and/or left in the Centre.
4. Please respect copyright. Video and audio recorders or any other reproduction equipment must not be used inside the Centre without prior approval.

Using the Collection

1. The Centre's collection items are not for lending. They may only be viewed or used in the Centre.
2. Some collection items are not available for viewing due to copyright, preservation or other concerns.
3. For proper preservation, some collection items are kept in climate-controlled cold stores. Request for viewing closed stack materials (maximum three items at a time) should be made at least seven days in advance. The request will be cancelled if the reserved materials are not used on the requested day of viewing. A new request can be made when all the requested items are returned.
4. Users may be required to wear gloves provided by the Centre when viewing closed stack materials to protect the collection items.
5. Please help us protect the collection items. Do not put things on top, stain, fold, tear, damage, remove, disassemble or alter any part of the materials or insert anything into the materials. You may use pencils and papers for note-taking if necessary.
6. For preservation purpose, some collection items that are available for viewing are reproductions. It will take time for staff to reproduce an access copy for public viewing. The time required will depend on the nature, condition and quantity of the materials.
7. All copyrighted works are protected under Chapter 528 ‘Copyright Ordinance'. Your special attention is drawn to sections 23, 38 and 39 of the Ordinance. A copy of the Ordinance is available on request at the Centre's service counter.
8. Written consent must be obtained from copyright owner for reproduction of any of the Centre's collection(s) except for copying of books for research purposes or private study. Reproduction of the Centre's collections should be performed by staff of the Centre.
9. Please acknowledge ‘Hong Kong Film Archive, Leisure and Cultural Services Department' and copyright owners when citing or using any reproduced materials.
10. The Archive shall not be held responsible for any infringement of intellectual property rights or other laws due to usage of the Archive's materials by any persons.
11. The Archive cannot control, nor is it responsible for, the accuracy of the content of its collection materials or any information displayed on the Internet.
12. Users of the Archive's materials shall indemnify the Archive against any losses, damages or expenses incurred to the Archive arising from a breach of the aforesaid conditions.

Audiovisual Materials Viewing Service

1. The Resource Centre has a number of viewing booths of different capacities. Our staff shall allocate the booths to applicants according to the number of viewers.
2. Viewing booth reservation service is provided to users on a first-come-first-served basis. Users are welcome to reserve a viewing booth once up to 7 days in advance either in person or by telephone. (e.g. Users can reserve a booth once on Monday for the following Monday or any day before that.) A new reservation can be made on/after the reserved viewing day.
3. Reservation service is available to Day Card Applicants on Mondays, Wednesdays, Thursdays and Fridays (except Public Holidays) only.
4. On Saturdays, Sundays and Public Holidays, users without a reservation may queue up at the Archive's G/F lobby 10 minutes before the Centre is scheduled to open. Queue cards shall be issued and staff of the Resource Centre shall provide service accordingly.
5. Please provide your name, viewing card number/first 4 digits of identification document and contact number for verification and contact purpose when making a reservation.
6. On the day of viewing, Year Cardholders should present their viewing cards and identification documents. Other users who have made reservations should provide their names and identification documents for application processing.
7. Users may choose to reserve a viewing booth for the whole day or within a specified period of time. A maximum of 3 items of audiovisual materials may be viewed during the reserved period.
8. Please arrive at the Resource Centre within 15 minutes starting from the reserved time. Otherwise, the reservation will expire.
9. Users can only bring pencils and papers into a viewing booth. All other personal belongings such as bags, suitcases, backpacks, mobile phones, video and audio recorders or any other reproduction equipment, food and drinks must be kept inside the lockers provided in the Resource Centre.
10. Users should notify staff of the Resource Centre if they wish to leave the viewing booth for more than 60 minutes. The Archive reserves the right to allocate the booth to other patrons waiting in line for service.
11. The processing time for on-site applications for viewing service and checking out audiovisual materials from our stores is approximately 30 minutes.
12. Viewing booths are strictly for use of viewing the Archive's collection items only.
13. Please respect copyright. Video and audio recorders or any other reproduction equipment must not be used inside the Resource Centre without prior approval. The Archive reserves the right to refuse service if deemed necessary.
14. Once issued, the Viewing Card is neither returnable nor refundable.
15. The Archive reserves the right to extend or amend the valid period of Year Cards under special circumstances or practical needs.
16. The Viewing Card is the property of the Archive and is non-transferable and not for lending. Please inform staff of the Centre immediately of any changes of address, contact number or loss of the card(s).

Application Procedures and Charges

1. Applicant should submit the completed application form to the Resource Centre in person or via email (hkfarc@lcsd.gov.hk), mail (50 Lei King Road, Sai Wan Ho, Hong Kong) or fax ((852) 2119 9136).

2. When processing the application, Individual Day Card/Year Card Applicant should present his/her valid identification document and pay the application fee in cash.
3. Year Card Applicant can submit his/her application through an authorised person. A letter containing the full name, identity card number and signature of both the applicant and the authorised person should be presented. The authorised person should also present his/her valid identification document as well as a copy of the applicant's identification document when submitting the application.
4. Organisation Year Card Applicant should be a local-registered school, society or institution. The authorised person/representative of the organisation should complete the application form with signature and organisation chop. Valid identification document of the authorised person/representative as well as registration document and chop of the organisation should be presented when submitting the application.
5. Each Organisation Year Card admits one member of the organisation to a viewing booth at a time. User of the Organisation Year Card should present the Organisation Year Card and valid documentary proof of his/her identity in the organisation (e.g. staff card, student card etc.) on the day of viewing.
6. The validity period of a Year Card is one year from the date of application. For renewal of a Year Card before its expiry date, a completed application form, the old Year Card and valid identification document should be submitted together with the application fee. The validity period of the new Year Card is one year from the expiry date of the old Card.

Archive Collection Reproduction Services

1. All copyrighted works are protected under Chapter 528 ‘Copyright Ordinance'. Subject to clearance of copyright, reproduction service may be provided to the applicant by the Resource Centre staff at stipulated charges.
2. Please fill in the ‘Request for Reproduction of Archive Collection' form available at the Centre's service counter, and the reproduction process will be handled by Resource Centre staff.
3. Please refer to the Conditions for Reproduction stated in the request form. The applicant shall indemnify the Archive against any claims, damages, losses or costs arising in any manner from the breach of the Conditions for Reproduction or from any infringement of intellectual property and other proprietary rights as a result of the reproduction of any collection(s) of the Archive. 
4. Payment should be made in cash and all fees paid are not refundable.

Stored Value Cards for Photocopying

1. Written consent from copyright owner should be obtained except for books for research purposes or private study.
2. All copyrighted works are protected under Chapter 528 ‘Copyright Ordinance'. Please do not infringe any copyright when making photocopies. Your special attention is drawn to sections 23, 38 and 39 of the Ordinance. A copy of the Ordinance is available on request at the Centre's service counter.
3. Stored Value Cards for photocopying are available for sale at the Centre's service counter.
4. Each card is priced at HK$20, including HK$10 for photocopying and a deposit of HK$10. Payment should be made in cash. The HK$10 deposit is refundable upon returning the card. NO refund is available for any residual value in the card.
5. Users should check the card value upon purchase. Claims for any damage of the card or loss of card value afterwards will NOT be accepted.
